Questions, answered
Here are answers to the questions we hear most. For everything else, just ask us.
The products
What does Utrovia make?
Four products on one platform. Nexa Author is research authoring, workflow and distribution: analysts write in the browser, every report goes through your approval stages, and it is published as a web page, PDF, slides, email, audio, video and translated editions. Nexa Portal is the white-label research portal your clients sign in to. Nexa CRM keeps every client relationship in one record, from coverage and research engagement to deals and roadshows. Nexa Conference runs investor conferences, from set-up and scheduling to logistics and event day.
Do we need all four?
No. They are designed to work together and share one set of clients, but you can start with the one you need most and add others later. Nexa Conference uses Nexa CRM as its address book, so the two go together.
Who is the platform for?
Firms that look after investment clients, whatever the mix. Teams that service clients, such as sales, coverage and corporate access, run their relationships, calls, meetings and roadshows in Nexa CRM, and add Nexa Conference to host their own events. Teams that write research, at banks, brokers and independent houses, use Nexa Author, with Nexa Portal to put it in front of their clients or alongside a portal they already have. Most firms start with one product and add others as they grow, and organisations that gather research from many providers can bring it into one private place in Nexa Portal.
Do we have to install anything?
No. All four products run entirely in the browser, on Windows, Mac, Linux, tablets and phones. The Excel and Outlook add-ins work on Windows, Mac and the web with nothing to install either: your IT team makes them available to your people centrally, in Microsoft 365. The optional LinkedIn extension is added to the browser like any other extension.
Can we still use Microsoft Word?
Yes. Upload a finished Word, PowerPoint or PDF report and it goes through the same approvals and distribution as reports written in the browser.
Nexa CRM and Nexa Conference
Who is Nexa CRM for?
Sales, coverage, banking and research teams: anyone who needs to know who covers a client, what they have read, when you last spoke and what is in progress, from deals to roadshow meetings. It works on its own, whether or not you use the other products.
Does Nexa CRM work with Outlook and Teams?
Yes. Emails to and from clients are logged automatically on the contact, account and deal; you can send CRM emails through your own Outlook account; and the Outlook add-in shows which recipients are clients and logs mail as you work. It works in Outlook on Windows, Mac and the web, with nothing to install: your IT team makes it available centrally, in Microsoft 365. Your Outlook meetings show in the CRM calendar, and meetings booked in the CRM go into Outlook. Teams and Zoom meetings can be created from a contact, deal or roadshow, Teams calls are logged with a summary, and deal and contact events can be posted to a Teams or Slack channel.
How do conference attendees use Nexa Conference?
Through the Companion, which opens on any phone from a personal link and can be added to the home screen, with no password and no app store download. They register, set meeting preferences, see their own itinerary, the schedule and the venue map, receive announcements within seconds, message your team and leave feedback on each meeting.
Can Nexa Conference schedule the meetings for us?
Yes. Investors rank the corporates they want to meet and Nexa Conference allocates the meetings by your rules and priorities. You can then adjust anything by hand; every move is checked for conflicts.
Branding and content
Can the portal match our brand exactly?
Yes. Nexa Portal is fully white-label: your logo, colours, fonts, pages, menus and card designs, on your own web addresses. Our team designs it with you, on a draft you can preview on phone, tablet and desktop before it goes live, with roll back, so the move from your website to your research feels seamless.
Which formats can our research go out in?
From one approved report: a responsive web page, PDF, slides, email, full-length audio and a two-minute summary, and a presenter-led video with captions, plus translated editions in multiple languages. Readers choose their format, and their language, in the portal.
Can we organise content by sector, country or company?
Yes. Research is tagged and organised so clients can browse by company, sector and country, follow what interests them, and keep watchlists and reading lists.
Can our clients use it on their phones?
Yes. Every page of the portal works on phones and tablets, and HTML reports and emails are fully responsive.
Assistance
What does Assistance actually do?
It drafts a section when an analyst asks, reviews it at any stage, and builds live tables from a plain-English description. Across Nexa Author, CRM, Conference and Admin you can ask questions, typed or spoken, such as who read a note or which deals are overdue, and ask for changes like logging a call. In Nexa Portal your clients can ask questions of your research, or ask for a round-up, and get answers drawn from your research and news with links to the sources. Nexa Conference can set up a conference from a one-sentence description.
Who stays in control?
You do. Suggestions arrive as tracked changes, or on a card for you to confirm, and nothing is published without a person approving it through your workflow. Administrators decide, product by product and action by action, whether Ask may make a change, must always ask, or is switched off, and every change it makes is marked in the history.
Security and data
Where is the platform hosted?
Preferably on Amazon Web Services (AWS), which we recommend as a global, secure cloud that scales with you: in the AWS region of your choice, or as a dedicated deployment in your own AWS account. If your firm runs on Microsoft Azure or Google Cloud, we can deliver there too; any extra work is scoped and agreed with you up front. Your data is encrypted at rest and in transit, and your firm reaches its products on its own branded web addresses. Utrovia is not affiliated with Amazon Web Services, Microsoft or Google; AWS is simply the cloud we build for first and recommend.
Is our data kept separate from other customers?
Yes. Each customer’s data is kept completely separate from every other customer’s, and within your firm people see only what their role and coverage allow.
How do users sign in?
With an emailed one-time code, a password, or single sign-on with Microsoft or Google, as your firm allows; other identity providers on request. Two-factor can be required for every password and emailed-code sign-in, while Microsoft and Google sign-ins use your own two-factor policy. Administrators can limit access to approved email domains and lock accounts after repeated failed attempts, and rights are set per person and per product in Nexa Admin.
How is our research protected once it is published?
Every portal page sits behind sign-in. PDFs open in a private viewer, watermarked with the reader’s name and digitally signed, rather than as public files. Audio and video use protected streaming that stops downloads and shared links.
What about data protection?
We process personal data in line with our privacy policy, and we help you meet your own obligations as part of onboarding and support.
Getting started
How long does it take to launch?
Typically as little as 4 to 6 weeks. A large archive to migrate, or extensive customisation, can take longer. The core platform is already built; the time goes into making it yours.
Will you help migrate our existing research?
Yes. We help bring your archive across, tagged and organised, so it is easy to find from day one.
Can we add and remove users ourselves?
Yes. Your administrators manage people and their access to every product from one place in Nexa Admin, including registrations and invitations.
What support do you provide?
Built-in help on every screen, with a guide to the page and answers to your questions, plus full technical support, regular updates, optional design and development work, and advice as your platform evolves. We also build new features with you, prioritising what improves your clients’ experience.
